As a company that has operated for 30 years, PT Chori Indonesia wanted to transform manual work into an integrated system. One area was employee administration, starting with the attendance system.

The Transformation Process

Previously, the HR and payroll teams had to check attendance data one by one manually. The process took time and was prone to human error. The company therefore moved to the Peoplyee HRIS application to integrate the administrative process.

Peoplyee HRIS is a system for managing employee data and attendance, leave and permission requests, overtime monitoring, and payroll calculations in real time from a personal computer or a user's mobile phone. With HRIS, companies can improve operational efficiency while reducing administrative workloads.

In HRIS, the team can set a check-in radius and/or other requirements. The radius indicates that when employees submit attendance through the application, they are at the office location or building. The system records all employee attendance data, which the payroll team can use to recap salaries and allowances. This method is effective, efficient, and aligned with employment regulations.

"Compared with before, this system has had a significant impact and made attendance calculation better," Ayu told the Peoplyee team on Tuesday (28/04) at Wisma Keiai, Jakarta.

An Easy-to-Understand Application

For Puspa, the user interface (UI) and user experience (UX) in the Peoplyee HRIS application are easy for PT Chori Indonesia employees to understand. This shows that the application design is intuitive, so the adaptation process ran smoothly without intensive training.

"They explored it themselves without being taught. They could also look around at different things," Puspa said.

The challenges were employee adaptation and unstable telecommunications signals. Because employees were previously used to fingerprint attendance, the HR and payroll teams kept reminding those who forgot to record attendance.

Data Accuracy in Payroll

The payroll process, previously complex and manual, is now more structured with Peoplyee HRIS. Ayu and Puspa explained that the transition from manual work to HRIS did not face major obstacles, and the initial adjustment did not take long. Payroll calculations in HRIS also matched the company's internal calculations.

"For me personally, the payroll process is no longer too complicated. At the beginning, perhaps it was, because there were changes in how the data was presented and read, but now it is settled," Ayu added.

The system helps ensure accurate salary calculations, including allowances and tax deductions, making it easier for payroll teams and accountants to process verification, especially during tax audits.

According to Ayu and Puspa's notes, Peoplyee HRIS has met the company's expectations in employee data management, including:

  • The live attendance feature includes a selfie button at check-in to prevent fraud, especially by field employees
  • HRIS provides attendance flexibility, especially for employees who forget to check in in the morning, they can still check out in the afternoon without submitting an attendance request
  • HRIS offers several add-on features, such as integrated SPT reporting in cooperation with tax consultants

Ayu added that in today's workplace, using HRIS has become essential, especially for companies that want to improve efficiency and accuracy.
