Before using HRIS, PT Sunwa Technos Indonesia faced a major challenge in monitoring the accuracy of the engineer team's attendance remotely.
"We have engineers outside for maintenance. Basically they are everywhere, and it is rather difficult for them to fill in attendance. They come to the office maybe once a month," Siska told Peoplyee HRIS on Tuesday (23/04/2024) in Jakarta.
Unlike office employees, whose 08:30 arrival time can be monitored directly, the engineer team often goes straight to workshop locations or customer sites without physical supervision. Punctuality is very important for the company because lateness directly affects salary calculations. The old attendance system, which also used an application, was considered less optimal for tracking actual locations and mitigating incomplete attendance records.

"To make sure, we just use photos. Some people diligently take selfies, and on the map it shows they have arrived at the office," she explained.

Digitalized Administration
PT Sunwa Technos Indonesia experienced configuration issues at the beginning of use, especially around leave requests. Office employees were already able to submit leave requests, but the engineer team was still facing obstacles. This was resolved after they understood the approval line settings in the system.
Fast Response from the Customer Service Team
When technical issues occurred, such as employees occasionally having difficulty filling in attendance, the fast response from the customer service (CS) team became a real help. "Sometimes employees cannot fill in attendance, then they contact the CS team. So far, even until now, it is still okay and fine," she added.
Shift Work System Settings
As a company that continues to grow, PT Sunwa Technos Indonesia plans to optimize the employee attendance feature to manage its shift work system. This is because the company has two offices with different work systems, so it also needs multi-location settings. In this way, engineer attendance at location A or location B can be adjusted precisely based on the radius set by the admin.
The company migrated from a less documented attendance recording process to a digital format where employee data is stored properly.
